MULTIMEDIA REQUEST INSTRUCTIONS
ALL MULTIMEDIA REQUESTS MUST BE SUBMITTED 60 DAYS PRIOR TO THE DAY OF THE EVENT.
How the Multimedia Request Process works:
1. Multimedia requests are submitted using the approved form. Request forms should be fully completed and include all details and information. Please note: Requests made outside of this form will not be honored.
a. Flyers may be created by the Committee/Requestor, however, changes may be made at the discretion of the PR Flyer Development Team if they do not meet the chapter's branding or the sorority's branding guidelines. Chapter templates and sorority's branding guidelines can be found HERE.
b. If a flyer is created by the Committee/Requestor, the Multimedia submission must include the draft flyer in Portable Network Graphics (.PNG)
format and the raw graphic file link to the flyer. Please note, the PR Flyer Development Team uses Canva to create flyers so please add [email protected] as a collaborator to your project.
2. Requests will be received by the Technology, Public Relations, and Standards Committee Chairs for review and processing. Please note: Technology Committee supports the use of chapter Zoom or other chapter technology; PR Committee processes requestsfor ad(s), flyers, and video(s) creation as well as social media and website postings; and Standards Committee develops surveys and data collection through Survey Monkey and Google Form.
3. Please allow a minimum of two weeks to process requests--this includes establishing Zoom links; ad(s), flyers, and video(s) creation as well as social media and website postings; and development of surveys and Google Forms. Please note: Processing times may vary depending on the request.
4. Draft versions of ad(s), flyers, and video(s) creation as well as social media and website postings require review by Madam Basileus. Please note: All drafts will be sent to the requestor and include Madam Basileus for review. No item will be posted until approval is granted by Madam Basileus.
5. The PR Committee will post ad(s), flyers, and video(s) to social media, the website and other media outlets only during the dates requested. Please ensure the multimedia form includes all posting dates and timeframes. Please note: If a request is internal chapter PR only, it will be distributed on Friday in PR Weekly News until the event expires.
